This privacy statement outlines how MOVE Ōtautahi Inc (MOVE) collects your data and how we use, store and protect your personal information.

MOVE is committed to protecting personal details in accordance with the Privacy Act 2020.

1. How MOVE Collects Personal Information

We collect information in six main ways:

  1. When you use MOVE’s booking system hosted by Mindbody.

  2. When you complete a JotForm to register for a class, hire the studios or book a workshop.

  3. Through third-party ticketing agencies, should a ticket be issued to you to attend an event at MOVE.

  4. When you sign up to receive email newsletters or e-communications.

  5. When you donate to or purchase directly from MOVE, whether online, by phone or by email.

  6. When you participate in MOVE’s anonymised surveys.

2. Where MOVE Stores Personal Information

We store personal information in the following systems:

• Mindbody, as part of our booking system

• Our Notion database, which is used mainly to manage our programme and tutors. The
database also contains information about individuals and organisations associated with our
activities, but it does not contain information relating to customers booking classes

• Mailchimp, which is used for newsletter management

Some information collected through the routes above is not added to our information systems,
such as survey responses or class registrations submitted through JotForm.

3. How MOVE Uses Personal Information

When booking activities through MindBody or any relevant ticketing agency, part of the condition of MOVE receiving data from these agencies is that we comply with the Privacy Act 2020, and we do our utmost to adhere to its principles.

MOVE does use Stripe to collect payments (via MindBody, JotForm and Xero). Your credit card details are encrypted, anonymised and transacted securely through Stripe.
Once we receive your personal information, which may include your name, email address, contact
telephone number, booking information and sometimes your postal address, we use it only for legitimate activity management purposes, such as notifying you about a cancellation, and for marketing where appropriate.

When you sign up to receive email newsletters, your email address will be recorded and held securely. Your email address may also be added to our e-newsletter database if you sign up to the booking system. We use these emails mainly to advertise upcoming activities and events at MOVE.
Every marketing email will include the option to unsubscribe.

We do not trade, rent or pass on your personal details to any other organisations or individuals for any reason.
We hold your personal information securely. It is accessed only by trained personnel who have received appropriate training in data management and security.

If you complete a MOVE survey, you agree to MOVE collecting and storing the information you provide. Survey responses are anonymised, and you are not required to provide any identifying information. The data gathered will be stored securely on MOVE’s secure server. Collated data may be shared in report form with our sponsors and funders and is used to help us improve customer and stakeholder experience.

4. Cookies

You can browse our website anonymously. We do not collect any identifiable information via our website unless you complete a contact form. We analyse non-identifiable web traffic data for statistical purposes, but we do not personally identify you.

MOVE may use “cookies” to store some information from your browser. A cookie is a small text file that a server places on your hard drive to “remember” your browser during subsequent visits.

MOVE uses cookies to provide a more customised service and facilitate online transactions. If you do not wish to use cookies, you may choose not to use the MOVE website.

You have the right to access and correct your personal information and privacy preferences at any time.

5. Changes to This Policy

We may update this Privacy Policy periodically to reflect minor changes in our information practices or relevant laws.

If we make any substantive changes to the way we collect or store information, we will let you know via our email newsletter/e-communications and website.
